What gets measured, and what does not
A tracking setup measures events you define. Form submissions, thank-you page views, button clicks on a phone number, and sales stages in your CRM are all common choices. Each is recorded in GA4, the ad platforms, the CRM, or several of these at once.
Some things stay out of reach. Ad blockers and privacy settings stop some tags from firing. People who see an ad on a phone and later visit on a laptop may show up as two visitors. Platform numbers rarely match each other exactly, because each counts by its own rules.
Good tracking accepts these gaps and is honest about them. The aim is a consistent record you can compare from month to month. A perfect count of every person is out of reach for anyone.
Routing form leads into your CRM
Every form submission should become a record in your CRM, with the right owner and its source attached, without anyone copying and pasting.
Routing setup usually covers:
- Connecting each form to HubSpot, Salesforce, Pipedrive or your CRM of choice, directly or through a connector
- Mapping each form field to the matching CRM property
- Saving UTM values and click identifiers from hidden fields
- Checking for existing contacts so duplicates are not created
- Assigning an owner by service, region or a simple rotation
- Setting a starting pipeline stage
Test submissions confirm each route works. A record of the mapping goes into the handover notes, so anyone can follow it later.
What you provide for tracking setup
Tracking connects your own accounts, so most of what is needed is access and a few decisions:
- Admin access, as an added user, to Google Tag Manager, GA4 and each ad account
- Access to your website or page builder to install Tag Manager, if it is not already there
- Admin or integration access to your CRM
- A list of every form and where each one sends submissions today
- Your sales pipeline stages and what each one means
- Who should be alerted about new leads, and how
- Any consent wording and records your counsel requires
If some accounts were set up by a past provider, check now that your business is the owner. Recovering ownership later can be slow.
Questions about lead tracking and follow-up
Which CRMs can form leads be routed into?
Most common CRMs accept form leads, including HubSpot, Salesforce and Pipedrive, either through a direct integration or a connector tool. The setup maps each form field to a CRM property, saves the campaign source, checks for duplicates and assigns an owner.
What is a speed-to-lead alert?
It is a notification sent when a new lead arrives, by email, Slack or the CRM's mobile app, to the person who should respond. It usually includes the name, the service asked about, the source and a link to the record. How quickly your team follows up is up to you.
What should a tracking report show?
Keep it short: form submissions by campaign and platform, how many became meetings or sales conversations, how many became deals, and spend for the same period. A note on leads with no recorded source helps catch breaks in the setup early. See lead tracking and follow-up for the full scope.
